Privacy notice

This notice explains what information NightForward (“we”) collects through nightforward.com, why, and what you can ask us to do with it.
What we collect
- What you send us through the contact form: your name, work email, company, company size, the topic you choose, your message, how you prefer to be contacted, and, if you give them, your phone number and the best time to reach you.
- What you send us through the chat on our site: the messages you type, the AI assistant’s replies, what the assistant does for you (for example, passing your details to our team), and the time you agreed to the chat being recorded. If you give contact details in the chat, we store them like details sent through the form.
- Your time zone: detected from your browser when you send the form or start a chat, so we contact you at a sensible hour.
- Technical information needed to run and protect the site: such as your IP address and browser details, processed by our hosting and security providers when you visit or send the form.
- Anonymous visit statistics: which pages are viewed, the referring site, and general device, browser and country information, plus page-load speed. We use Cloudflare Web Analytics, which does not use cookies or local storage and does not track you across sites. We see only totals, not individual visitors.
We don’t use advertising or tracking cookies, and we don’t build profiles of visitors. We don’t store your IP address with chats: to limit abuse, we keep a code derived from it that changes every day and is deleted within three days. While a chat is open, your browser tab keeps a reference to it so the chat continues if you move between our pages; it is removed when you close the tab or end the chat.
Why we use it
- To reply to your message and, if you ask, arrange a conversation about our services. When you send the form, we email you an automatic confirmation that we received it.
- To contact you only in the ways you choose. If you tick phone call or text message, calls and texts may come from our team or from our automated assistant.
- To send you occasional news and offers, only if you tick the box asking for them. You can stop them at any time with the unsubscribe link in our emails, by replying “unsubscribe”, or by using the contact form.
- In the chat: to answer your questions, pass your details to our team when you ask, provide customer service, and train and improve the assistant’s answers. We review chats to find questions the assistant couldn’t answer well; a person checks and approves every change to its answers.
- To keep the site secure and stop automated spam.
The chat starts only after you have seen a short notice explaining that it is recorded and pressed “Start chat”. You’re chatting with an AI assistant, not a person; you can ask for a person at any time, or use the contact form instead.
We don’t sell or share your personal information, including as those terms are defined under California law, and we don’t add you to a mailing list unless you ask us to.
Who helps us process it
- Cloudflare, Inc. hosts this website, runs the security check on the contact form (Cloudflare Turnstile), stores the messages and chats you send us in a private database (Cloudflare D1), delivers them to our inbox, sends your confirmation email, and provides our anonymous visit statistics (Cloudflare Web Analytics).
- Anthropic, PBC provides the AI model behind the chat assistant and processes chat messages to write its replies and to help us review chats. Under Anthropic’s commercial terms, chat content is not used to train its AI models, and Anthropic deletes it within 30 days unless it must keep it longer by law or to enforce its usage policies.
- Google LLC provides our business email (Google Workspace), where messages are received and answered, and our booking calendar (Google Calendar), if you book a call with us.
No other companies receive your information. These providers may process it in the United States and other countries where they operate. They handle it on our behalf and under their own security and privacy commitments.
How we protect it
Information is encrypted in transit. Access to your messages is restricted to NightForward and requires signing in through a protected account. The site runs no advertising and nothing that tracks you across other websites.
How long we keep it
We keep these messages for up to 24 months after our last contact with you, unless we go on to work together, in which case we keep what is needed for that relationship and our legal records. Chats in which you left your contact details follow the same rule and are deleted together with your details. Chats without contact details are kept for 12 months, to improve the assistant’s answers, and then deleted. Everything past these periods is deleted automatically. Deleted records can remain in our providers’ short-term backups for up to 30 days before they are gone for good.
Your choices and rights
Depending on where you live, you may have the right to ask us to access, correct, delete or stop using your information, or to object to how we use it. We respect these requests wherever reasonably possible, regardless of where you are.
How to make a request
Use the contact form and choose “Privacy request”, or email hello@nightforward.com. Tell us what you would like: a copy of your information, a correction, deletion, or for us to stop contacting you.
- Checking it’s you: we’ll reply to the email address we hold for you and ask you to confirm from it, so no one can request someone else’s information.
- Timing: we acknowledge your request within 1 business day and complete it within 30 days. If we need longer, we’ll tell you why.
- Cost: free.
- Deletion: we remove your details from our database (including chat conversations), inbox and calendar. If we must keep something for legal reasons, we’ll tell you what and why.
We won’t treat you differently for making a request. You may also have the right to complain to your local data protection authority.
Children
This site is for businesses and is not intended for children. We don’t knowingly collect information from anyone under 16.
Changes to this notice
If we change how we handle information, we’ll update this page and the date at the top.
